# Manage Cards

Workspace owners and admins manage cards from the **Card management** tab of the Cards page. You can issue cards, check their status, set budgets, and open statements. Viewing the full card number and cancelling a card happen in a CapitalOS-hosted form. Budgets are set in Flyweel.

## Reading the Cards page[Link to this section](#reading-the-cards-page)

The top of the page shows your account status, the account mode, when Flyweel last synced with the card partner, and a **Refresh** control. The tiles below depend on your mode:

| Mode | Tiles |
| --- | --- |
| Capital | Current balance, Credit limit, Available credit, Pending transactions, Pending credits |
| Debit | Spent, Funded limit, Available balance, Pending transactions, Pending credits |

## Issue another card[Link to this section](#issue-another-card)

 1. Open **Cards**.
 1. Select **Issue card**.
 1. Complete the cardholder details in the hosted form.
 1. Confirm the new card appears under **Card management** with its status and last four digits.

Leave the budget empty and the card can spend up to your account limit, shared with your other cards. Every card carries the Advertising & Marketing category rule automatically.

If the card does not appear immediately, select **Refresh**.

## View card details[Link to this section](#view-card-details)

Open **Card management**, hover a card, and select **View details**. Use the search box to find a card by name or cardholder.

The details panel shows the card partner’s card form, where the full number and other sensitive details stay, with Flyweel’s **Budget** panel underneath.

## Understand card statuses[Link to this section](#understand-card-statuses)

Cards are grouped by status:

| Status | What it means |
| --- | --- |
| Active | The card can make payments. |
| Frozen | Payments are paused. Freezing happens when a teammate is removed. |
| Can’t be used | The card can no longer make payments. Issue a new card, or contact support. |
| Canceled | The card is permanently closed. |

If a status looks out of date, select **Refresh**. Contact support if the displayed status still does not match the action you completed.

## Set a card budget[Link to this section](#set-a-card-budget)

 1. Open the card’s details.
 1. In **Budget**, choose a **Frequency** (Daily, Weekly, Monthly, or Lifetime) and enter an **Amount ($)** above zero.
 1. To remove the budget, tick **No budget for this card** instead.
 1. Select **Save changes**.

A card with no budget can spend up to your account limit, shared with your other cards. Budgets on cancelled cards are read-only.

The Advertising & Marketing category rule cannot be changed in Flyweel. Contact Flyweel support if it prevents an expected advertising payment.

## Cancel a card[Link to this section](#cancel-a-card)

 1. Open the card’s details.
 1. Cancel the card from the CapitalOS-hosted form.
 1. Close the panel. Flyweel updates the card’s status.

Cancelling a card cannot be undone. Check the selected card carefully before confirming. To stop spending on a card without cancelling it, set a low budget.

Freezing a card is only offered when you remove a teammate who holds cards.

## Open statements[Link to this section](#open-statements)

Select **Statements** at the top of the Cards page to review your card statements.

## Account actions[Link to this section](#account-actions)

Select **Account actions** to open the card partner’s account menu, including **Connect to QuickBooks Online** and your payment settings. Owners and admins only.

## Manage Cards when a teammate leaves[Link to this section](#manage-cards-when-a-teammate-leaves)

When you remove a teammate who holds cards, Flyweel lists each of their cards and asks what to do with it:

 - **Leave it active**
 - **Freeze it** (the default; contact support to unfreeze later)
 - **Cancel it** (cannot be undone)

The teammate created these cards and may still have the number, expiry date, and CVV. Leaving a card active leaves that number working. Their card-partner access is removed either way.

Choose an option for each card, then select **Remove member**.

## Notifications[Link to this section](#notifications)

Workspace owners and admins receive in-app notifications for:

 - Account approval, review, decline, or closure.
 - Cards issued, frozen, cancelled, or no longer usable.
 - Card transactions and declines, with the reason.
 - 50%, 75%, and 100% of a card’s monthly limit.
 - Dispute submission and outcome.

Application outcomes also arrive by email.

## Frequently asked questions

### Can I change a card's budget or category rule in Flyweel?

You can set or clear a budget on each card from its details. The Advertising & Marketing category rule is applied automatically and cannot be changed in Flyweel. Contact support if it blocks an expected advertising payment.

### Can a manager or marketer issue a card?

No. Workspace owners and admins manage Cards today.

### Does removing a teammate cancel their card?

You decide. When you remove a cardholder, Flyweel asks whether to leave each card active, freeze it, or cancel it.

### Why does a card still show its old status?

The latest status may take a short time to appear. Select **Refresh** and contact support if it remains incorrect.
